Session notes, written up for you. Your audio stays on your computer.
Booker Tools is a desktop app for Mac, Windows and Linux. It listens along to your calls and face-to-face sessions, transcribes them on your own computer, and writes up notes when you finish. Your audio never leaves your device.

How meeting notes works
Meeting notes is the first tool in Booker Tools. You hold the conversation; it keeps the record.
-
Start your call as usual
Zoom, Microsoft Teams, Google Meet in your browser or a Booker video call. When another app starts using your microphone, Booker Tools offers to take notes.
-
Transcribed on your computer
Whisper turns speech into text on your own machine as you talk. The audio is never saved and never leaves your device.
-
Notes written up when you finish
When the meeting ends, the transcript text is used to write tidy notes in the format you choose.
-
Saved where you keep notes
A Markdown file on your computer, a page in Notion, or the client's appointment in Booker.
Three ways to start
-
When a call starts
Booker Tools notices another app using the microphone and asks if you would like notes.
-
Take notes now
Start straight away from the app, whatever you are doing.
-
Session in the room
For face-to-face sessions. One microphone picks up you and your client.
Call your clients from the same app
Calls are EU-hosted and encrypted in transit and at rest. Calls are never recorded.
-
Video or audio calls
Start a call in a click and send your client the link. Audio calls never turn on a camera.
-
No account for clients
Clients join from the link in their browser, or paste it into Booker Tools. No sign-up, no password.
-
Today's sessions
Your Booker Video appointments for today, each with a Join button when it's time.
-
Notes as you talk
Booker Tools offers to take notes when a call starts, and writes them up when it ends.
Private by design
Your audio never leaves your device
What is said in a therapy room or a coaching session belongs there. Booker Tools does the listening on your own computer, keeps nothing it does not need, and tells you plainly what goes where.
Read the privacy details-
Audio is never recorded
Speech is turned into text as you talk. The audio itself is never written to disk.
-
Transcribed on your computer
Whisper runs on your own machine, so the audio never leaves your device. Not to Booker, not to anyone.
-
Only text is used
To write up your notes, the transcript text is processed by our EU-hosted AI provider. It is not used to train AI models.
-
Your keys stay in your keychain
If you connect Notion, the connection secret is kept in your computer's keychain and only ever sent to Notion.
Notes in the format you already use
Choose a format for each meeting, from everyday call notes to clinical and coaching records.
-

Saved where you keep your notes

-
Notion
Connect your Notion workspace and each write-up lands as a new page.
-
The client's appointment in Booker
Optional and off by default. Notes are saved against the appointment and show on the client's page.
Consent and retention, on your terms
Sensible settings for people who keep confidential records.
-
Client consent, confirmed
Booker Tools asks you to confirm your client has agreed before it starts. Switch it off if you record consent elsewhere.
-
Transcripts that tidy themselves
Have transcripts deleted automatically after 7, 30 or 90 days. Your written-up notes are kept.
-
Updates install themselves
New versions download in the background and install when you quit, or straight away if you choose to restart.

Booker Tools questions
Anything missing? Ask directly and a person will reply.
- Is my audio recorded or uploaded?
- No. Booker Tools transcribes speech on your computer with Whisper, an open speech-recognition model that runs locally. The audio is never written to disk and never leaves your device. Only the text transcript is used.
- What does get sent from my computer?
- When a meeting ends, the transcript text is sent to Booker and processed by our EU-hosted AI provider to write your notes. It is not used to train AI models. If you choose Notion or Booker as a destination, the finished notes go there too. Full details are in our privacy policy.
- Which calls does it work with?
- Anything that uses your microphone, including Zoom, Microsoft Teams, Google Meet in a browser and Booker video calls. For face-to-face sessions, choose Session in the room and it takes notes from one microphone. You can also press Take notes now at any time.
- Do my clients need to install anything?
- No. Booker Tools runs on your computer only. Your client joins the call exactly as they normally would.
- Why does Windows warn me when I install it?
- Booker Tools is new, so Windows doesn't recognise it yet and may show "Windows protected your PC". Choose More info, then Run anyway. Only download it from booker-app.com. The warning goes away as more people install it.
- Can I ask for my client's consent first?
- Yes, and it does by default: Booker Tools asks you to confirm your client has agreed before it starts taking notes. If you record consent elsewhere, you can switch this off in its settings.
- How long are transcripts kept?
- That is up to you. Booker Tools can delete transcripts automatically after 7, 30 or 90 days, and your written-up notes are kept.
- Which computers does it run on?
- macOS 14.2 Sonoma or later, Apple Silicon or Intel; Windows 10 or 11, 64-bit; and Linux as an AppImage or a .deb package. Updates download in the background and install when you quit.
- Do I need a Booker account?
- Yes. Booker Tools is included for Booker customers and signs in with your Booker account. The AI assistant needs to be switched on for your account, because that is what writes up your notes.
