Privacy policy
Last updated: 6 October 2026
1. Introduction
Booker ("we", "us", or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our scheduling platform and related services (the "Service").
We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Please read this policy carefully. By using the Service, you consent to the practices described in this Privacy Policy.
2. Data Controller and Data Processor Roles
For the purposes of the UK GDPR, Booker is the data controller for the personal data we collect directly from you when you use our Service (e.g., your account details, email address, and payment information).
Professionals who use our Service to manage their client appointments act as independent data controllers for their client data. We act as a data processor on their behalf for that data, meaning we only process client data according to the Professional's instructions and for the purpose of providing the Service.
Professionals are responsible for ensuring they have a lawful basis (such as consent or legitimate interest) to enter their clients' personal data into the Service. If you are a client whose data has been entered by a Professional, please contact that Professional directly regarding your data rights.

We do not sell your personal information. We may share your information in the following circumstances:
6.1 With Service Providers
We share information with third-party service providers who perform services on our behalf:
- Stripe: Payment processing and financial transactions (US-based, with UK/EU data processing)

- Neon: Database hosting — data stored in EU region
6.2 Between Users
When you book an appointment, relevant information is shared between Professional and Client (e.g., names, contact details, appointment details) to facilitate the booking.
6.3 For Legal Reasons
We may disclose information if required by law, regulation, legal process, or government request, or to protect the rights, property, or safety of Booker, our users, or the public.
6.4 Business Transfers
If Booker is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any change in ownership or uses of your personal information.
7. Data Storage and International Transfers
Your data is primarily stored and processed in the United Kingdom. We use Amazon Web Services (AWS) data centres located in London (eu-west-2 region) to ensure your data remains within UK jurisdiction.
Some of our service providers may process data outside the UK:
- Stripe: Payment processing (US-based, with UK/EU data processing)
- Neon: Database hosting (US-based company, data stored in EU region)
When data is transferred internationally, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses approved by the UK Information Commissioner's Office (ICO), or transfers to countries with adequate data protection laws.
8. Booker Tools (Desktop App)
Booker Tools is an optional desktop app for macOS, Windows and Linux that signs in with your Booker account. Its first tool, Meeting notes, transcribes your meetings and sessions and writes up notes. This section explains how it handles personal data, including what your clients say during a session.
8.1 Audio Stays on Your Computer
- Speech is transcribed on your own computer using Whisper, a speech-recognition model that runs locally
- Audio is processed in memory as it is transcribed. It is never recorded to disk and never uploaded to Booker or anyone else
- Only the resulting text transcript is used
8.2 What Booker Tools Sends
- Transcript text, to write your notes: When a meeting ends, the transcript text is sent to Booker and processed by our EU-hosted AI provider to produce your notes in the format you chose. It is not used to train AI models
- Notes, if you choose Booker as a destination: Saving notes to a client's appointment is optional and off by default. If you switch it on, the notes are stored with the rest of your Booker data and shown on that client's page, and are handled in the same way as your other client data (see section 2)
- Usage events: Simple events such as "notes written up", with counts, so we can see which features are used. These never include audio, transcript or note content
- App events, even before you sign in: When the app is installed, opened or updated, once a day while it runs, and when you open its window. Each carries the app version, your operating system and a random ID the app makes when it's installed. That ID isn't linked to you or your computer until you sign in; from then on these events are linked to your Booker account
- Error reports: Technical details when something goes wrong or the app stops unexpectedly, such as the app version, operating system and the error, so we can fix it. Like app events, these are sent before you sign in too, with the app's random ID
8.3 Notion and Local Files
If you connect Notion, the connection secret is stored in your operating system's keychain (for example macOS Keychain or Windows Credential Manager) and is only ever sent to Notion. Notes you send to Notion are held in your Notion workspace under Notion's own terms and privacy policy. Notes saved as Markdown files stay on your computer, in the folder you choose.
8.4 Consent and Retention Controls
- Client consent: Booker Tools asks you to confirm that your client has agreed before it starts taking notes. You can switch this off in its settings, for example if you record consent elsewhere
- Transcript retention: You can have transcripts deleted automatically after 7, 30 or 90 days. Your written-up notes are kept
8.5 Calls
- Booker Tools can start and join Booker video and audio calls (in beta). Calls are carried by our EU-hosted video provider and are encrypted in transit and at rest
- Calls are never recorded. If you take notes during a call, the audio is transcribed on your computer as described above
- Clients join from a private link without an account. We keep when each call was joined and completed, and any rating left afterwards, to run and improve the service
When you use Booker Tools in a session, you are the data controller for what your clients say and for the notes produced. You are responsible for having a lawful basis to take notes and for telling your clients how their information is used.
9. Data Retention
We retain your personal data for as long as necessary to:
- Provide the Service and maintain your account
- Comply with legal and regulatory obligations
- Resolve disputes and enforce our agreements
Specific retention periods include:
- Active accounts: Data retained while account is active
- Cancelled accounts: Data retained for 30 days, then deleted
- Financial records: Retained for 7 years as required by UK tax law
- Appointment history: Retained for the account lifetime or as required by law
